Terms and Conditions

Please read these Terms and Conditions carefully before making or confirming any booking. By proceeding with a booking, you acknowledge that you have read, understood, and agreed to be bound by these terms. 

In these Terms and Conditions, “we”, “our”, “us” refer to TGT Global Trots, and “you”, “your”, “traveler” refer to all individuals named in the booking, including any person added or substituted at a later stage.

1. Booking Procedure

Choose your preferred tour or holiday package and submit an enquiry through our website or contact channels.

Quotation and Proposed Itinerary

Choose your Our Travel Advisors will manage your request via email, phone, or other communication methods. Customization & Modifications

You may review the itinerary, ask questions, and request changes. Our Travel Advisor will recommend suitable options and refine the itinerary until it meets your expectations.

Booking Form and Initial Deposit

Once you approve the itinerary and pricing, you will be required to complete a Booking Form and pay an advance deposit of 50% of the total package cost within 3–5 days to initiate the booking.

Service Reservations & Confirmation Payment

After receiving the deposit, we will check availability and reserve services with hotels, airlines, transport providers, and other independent suppliers. A revised confirmation itinerary will be shared with you, after which you must pay 25% of the total package cost (after adjusting the deposit).

Final Balance Payment

  • The remaining balance must be cleared 20–45 days prior to the travel date.
  • For last-minute or urgent bookings (within 30 days of travel), the full package amount must be paid at the time of booking.

Invoice Tickets & Travel Vouchers

An official invoice will be issued once full payment is received. Approximately two weeks before departure, we will email your confirmed air tickets, hotel and service vouchers, and the final itinerary with complete hotel addresses and contact details. Hard copies will also be provided where applicable. 

If you require any clarification, additional information, or itinerary modifications, please feel free to contact us. Our travel experts will be happy to assist you. 

2. Authority to Book on Behalf of Others 

If you are booking as a travel agent, group leader, or primary contact, you are considered the authorized representative for all travelers included in the booking. You are responsible for: 

  • Making all payments related to the tour 
  • Communicating any changes or cancellations 
  • Ensuring that all travelers are informed of booking details and updates 

By booking on behalf of other individuals, you confirm that you have obtained their consent and authorization. You also warrant that all information provided for each traveler is complete and accurate. The Global Trots shall not be liable for any errors, omissions, or inaccuracies submitted during the booking process.

3. Travelers Below 18 Years of Age 

Any traveler under the age of 18 is considered a minor and must be accompanied by a responsible adult at all times. 

  • Bookings for unaccompanied minors will only be accepted with prior written consent from parents or legal guardians, as required by applicable laws. 
  • Unaccompanied minors must carry valid exit permits and travel authorization documents from their country of origin. 
  • Minors traveling with one parent, teachers, or unrelated adults should carry written parental consent and all legally required documents. 

Minors should also carry: 

  • A copy of the travel itinerary
  • Contact details (address and phone numbers) of parents or legal guardians 

We are not responsible for any losses, penalties, damages, or additional costs arising due to missing or incomplete travel permissions or documents. 

4. Payment Terms and Schedule 
a. Payment Schedule 

To secure your travel services, payments must be made as per the following schedule:

b. Late or Urgent Bookings 

For bookings made within 30 days of the travel date, 100% of the package cost must be paid at the time of booking. Failure to make full payment may result in automatic cancellation without prior notice. 

Note: Accommodation, flights, trains, and other travel services are confirmed only upon receipt of the required advance payment. Pre-reservations are generally held for a limited period (5–7 days) and are subject to availability. Due to limited inventory on popular routes and during peak seasons, early payment is strongly recommended. 

Prices may vary based on seasonality, peak travel periods, special events, or supplier policies. Your Travel Advisor will confirm the final payable amount at the time of booking. For third-party or partner services, non-refundable booking amounts may vary as per partner terms. 

Travel documents will be issued only after full payment is received and cleared

c. Forfeiture of Booking Amounts 

We reserve the right to forfeit booking amounts and apply cancellation charges if:

  • The booking is cancelled by the traveler for any reason, including medical grounds 
  • The traveler fails to follow the payment schedule communicated by the Travel Advisor

 

d. Modes of Payment 

Payments can be made via:

  • Bank Wire Transfer 
  • Online Payment Gateway using Visa or MasterCard 
  • Demand Draft 

Cash payments are not accepted. Credit card payments may attract additional bank processing charges. 

Please Note:

  • International wire transfer takes 48 hours to 15 days.
  • Payment gateway transactions may take up to 4 working days to clear.
  • Payments made within 15 days of departure must be made via Demand Draft. Payments should be initiated well before the due date. Kindly inform your Travel Advisor once payment is made and share transaction details or SWIFT confirmation for faster reconciliation. 
e. Taxes and Government Levies 

All prices are exclusive of GST. Applicable GST will be charged as per prevailing laws. 

Travelers are responsible for paying all applicable taxes, duties, and government levies. Certain countries impose mandatory local, city, or airport taxes, which must be paid directly at the destination or hotel and are not included in the tour package. 

Tax rates are subject to change without prior notice. 

Both parties agree to cooperate in fulfilling tax deduction, withholding, and compliance requirements as mandated by law. 

f. Additional Important Information 
  1. Late Payment Charges: A late fee of 2% may be applied for payments received after the due date 
  2. Payment Receipts: Always collect official payment receipts from your Travel Advisor. Provisional receipts do not confirm bookings until funds are received by us 
  3. Regional Departures: Travelers joining from cities other than the main departure hub may pay a fare difference. Flights may be direct or routed via Mumbai 
  4. Duplicate Bookings: Multiple or duplicate bookings for the same traveler are not permitted and any resulting losses will be borne by the traveler  
5. Cancellation Policy 

All confirmed travel bookings are subject to cancellation charges, which may range up to 100% of the total booking value, depending on the date of cancellation and supplier policies. If we incur cancellation fees from airlines, hotels, transport providers, or other service partners due to your cancellation, you agree to reimburse us for such charges.

How to Cancel a Booking 

To cancel your booking, you must notify both us and your travel insurance provider in writing via email, clearly mentioning the reason for cancellation. Please request and retain acknowledgement of receipt. 

Cancellation requests will be accepted only from: 

  • The traveler or travel partner (for FIT/individual bookings), or 
  • The lead passenger (for group bookings) 

Cancellation charges apply from the date we receive written notification. We strongly recommend reviewing your travel insurance policy to understand coverage for cancellation penalties. 

Our Right to Cancel 

We reserve the right to cancel a booking under the following circumstances: 

  • Non-payment or delayed payment of the balance amount 
  • Unavoidable or extraordinary events (force majeure) 
  • Minimum group size not being met 
  • Incomplete, incorrect, or missing traveler details 
  • If one or more travelers cancel and remaining travelers refuse revised per-person pricing 
  • Refusal to accept reasonable price adjustments 
Cancellation Due to Visa Rejection 

Obtaining a valid passport and required visas is solely the traveler’s responsibility. We and our service partners are not responsible for visa outcomes. Visa approval or rejection is determined by respective consulates or authorities. 

In case of visa denial, actual cancellation charges will apply, and any refundable balance (if applicable) will be processed after deducting supplier penalties. 

Cancellation Charges Schedule 

Cancellation charges apply to all confirmed bookings where a booking confirmation has been issued and a deposit received.

Important Note: 

Written cancellations are accepted on working days only. Requests sent on Saturday (post-noon), Sunday, or public holidays will be processed on the next working day. 

Special Cancellation Conditions 

Cancellation terms may differ for the following: 

  • Fixed departures, group tours, promotional or discounted offers 
  • Peak season travel (20 December – 10 January) 
  • Festivals, fairs, trade exhibitions, and special events 
  • Third-party products governed by supplier policies 
  • Wildlife safaris and national park bookings (strictly non-refundable, including date changes) 
  • Any service marked as non-refundable at the time of booking. 
6. Prices 

All tour prices are subject to availability and may be revised or withdrawn without prior notice. The applicable tour price will be shared with you in the detailed itinerary and remains valid for up to 7 days or until the stated validity date, whichever comes earlier. If full payment is not received within this period, prices may change due to

  • Currency exchange fluctuations 
  • Government taxes, fuel surcharges, or airline fees 
  • Changes in supplier rates or operational costs 

Once the initial deposit is received, the remaining balance must be paid 30–60 days before the travel date, depending on the nature of the booking. Please note that the balance amount may still be revised. If there is a price variation of more than 3% caused by exchange rate movements, fuel cost changes, or related factors between the booking date and final payment date, the revised price will be communicated to you at least 30–60 days prior to departure

If the tour price decreases due to such cost changes, any eligible refund will be processed after deducting applicable administrative charges. 

Prices may also change due to circumstances beyond our control, including but not limited to force majeure events, strikes, adverse weather, traffic disruptions, overbooking by airlines or hotels, flight cancellations or rerouting, or access restrictions at destinations. While we will make reasonable efforts to offer suitable alternatives, we shall not be liable for compensation or refund claims arising from such events. We also reserve the right to correct any pricing inaccuracies or omissions.

All prices are quoted per person, based on shared twin or double room occupancy, unless specifically mentioned otherwise. Early confirmation is strongly recommended to secure the quoted price and availability. 

In the case of both fixed departures and customized itineraries, if one or more travelers cancel while others continue with the trip, the total cost will be recalculated. The revised per-person price will be determined by redistributing the cancelled traveler’s share among the remaining participants. If the revised price is not accepted, it will be treated as a booking cancellation and cancellation charges will apply as per the cancellation policy. Any refusal to pay reasonable price adjustments will also be considered a cancellation. 

From time to time, promotional rates or special offers may be introduced. These offers apply only to new bookings and are not applicable to bookings for which a deposit or partial payment has already been received. 

Additional services arranged before or during the tour—such as optional excursions or concierge-assisted bookings—that are not included in your tour package may be subject to extra charges. Any costs imposed by suppliers for such arrangements will be passed on to you. 

You will be informed of the final tour price at the time of booking, along with a clear outline of inclusions, which will be detailed in your booking confirmation. If you require further clarification, our team will be happy to assist. 

Price Exclusions 

Unless explicitly mentioned in the itinerary, the tour price does not include: 

  • Visa fees and airport departure taxes payable locally.
  • Porterage, hotel extras, and vehicle fuel or car hire add-ons.
  • Government, airline, or regulatory taxes introduced after booking.
  • Increased security or transportation-related charges imposed post-booking.
  • Personal expenses such as phone calls, laundry, excess baggage, room service, camera fees, alcoholic beverages, water, and other drinks 
  • Travel insurance (travelers must carry valid and adequate insurance).
  • Tips and gratuities (optional and at personal discretion) 
  • Any services not specifically listed in the confirmed itinerary 
7. Changes to Itinerary 

If you wish to modify your travel itinerary after the booking confirmation has been issued, we will make reasonable efforts to accommodate your request; however, changes cannot be guaranteed. All requests for itinerary changes must be submitted in writing via email. We will accept change requests only from the primary traveler or travel partner in the case of FIT/individual bookings, or from the designated lead traveler for group bookings. 

Change Fees & Charges 

Any amendment to a confirmed itinerary may attract change fees, service charges, or supplier penalties, which can be up to 100% of the booking value. This is because airlines, hotels, and other service providers often impose full cancellation penalties for

changes made between 10 days and 24 hours prior to departure. Such changes may also result in the forfeiture of any deposits already paid. 

If we incur any charges due to your requested changes, you agree to reimburse us for the full amount. Failure or refusal to pay applicable change fees or revised costs will be treated as a cancellation, and cancellation charges will apply accordingly. 

Standard Change Fee Structure 

For all confirmed bookings where a deposit has been received:

Operator-Initiated Changes 

We reserve the right to adjust routes, schedules, or itineraries where required to ensure traveler safety or due to administrative directives, force majeure events, or other unforeseeable circumstances. Wherever possible, such changes will be communicated before departure or during the tour. 

In such cases, you may: 

  • Accept the revised itinerary, or 
  • Opt for a refund in line with the cancellation policy, or 
  • Choose an alternative holiday arrangement 

If the alternative itinerary is of lower value, the price difference will be refunded. If it is of higher value, you will be required to pay the difference. Refusal to accept reasonable price adjustments will be considered a cancellation of the booking, and cancellation charges will apply.

8. Refund Policy 

We reserve the sole right to determine the amount of refund applicable in the event of tour cancellation, amendment, or modification arising from unforeseen, unavoidable, or extraordinary circumstances. Any refund, if applicable, will be calculated after considering multiple factors, including but not limited to the number of travelers, and the cancellation or refund policies of third-party service providers such as airlines, hotels, transport operators, destination management companies, and other agencies. Our decision regarding the refund amount shall be final and binding. 

For tours where payments have been made in foreign currency (partly or fully), all refunds will be processed only in Indian Rupees (INR) at the prevailing buying exchange rate on the date of refund, in accordance with applicable laws, rules, and regulations. 

If We Modify or Cancel a Tour 

If TGT Global Trots exercises its discretion to alter, amend, or cancel any advertised tour or holiday, the traveler may choose one of the following options: 

  • Accept an alternative tour or holiday offered by us, if available; or 
  • Continue with the tour as revised or amended; or 
  • Accept a refund of the tour cost after deducting actual expenses already incurred on your booking (such as visa fees, travel insurance, ticket cancellation or voiding charges, supplier penalties, and applicable administrative costs). This refund shall be treated as full and final settlement, and no further claims for compensation, damages, interest, or consequential losses shall be entertained. 

Once a traveler opts to continue with a modified or amended tour, the contractual relationship remains unchanged. Any additional costs resulting from such changes must be paid by the traveler. 

No Refund Will Be Provided In the Following Cases: 
  • For unused, missed, modified, amended, or cancelled services including flights, hotels, sightseeing, transfers, meals, cruises, entrance fees, excursions, or any other inclusions, whether partially or fully, regardless of the reason. 
  • For loss, theft, damage, or misplacement of travel documents, tickets, vouchers, or any related consequential losses or expenses. 
  • If a traveler fails to join the tour at its commencement, joins late, or leaves the tour before its scheduled completion for any reason. 
  • Where full or advance payment has already been made to third-party suppliers to secure bookings and such amounts are non-refundable. 
  • If a traveler cancels or is required to cancel the tour due to changes in government rules, regulations, or policies. 
  • If a tour is postponed indefinitely due to political unrest, strikes, natural disasters, floods, landslides, pandemics, or other force majeure events. 
  • For air sectors or components where tickets are non-refundable and/or date changes are not permitted.
Refund Processing Timeline 

Refunds, where applicable, will be initiated only after we receive the corresponding refund from airlines, hotels, or other service providers, and after deducting cancellation charges and applicable bank or transaction fees. 

  • For payments made via credit/debit card, the refund (after deductions) will be credited to the same card within 4–5 working days from the date of approval.
  • For payments made via net banking, refunds will be credited to the same bank account within 10 working days

Please note that due to standard banking procedures, the complete refund process may take 15–20 working days to reflect in your account. 

9. Travel Information 
a. Passport & Visa Requirements 

Travelers are solely responsible for holding a valid passport and all required visas for their journey. Passports must be valid for a minimum of six (6) months beyond the return date. Visa rules and immigration requirements vary by destination and nationality; therefore, you must verify current regulations with the relevant embassy, consulate, or immigration authority prior to travel. 

Any fines, penalties, delays, or expenses arising due to invalid, insufficient, or missing travel documents will be entirely your responsibility and are not included in the tour package cost. We will not be liable for tour cancellations, denied boarding, or entry refusals resulting from non-compliance with passport, visa, or immigration regulations. 

Important: Travel itineraries and supporting documents may be required for visa applications. These documents can be provided upon request after booking confirmation. 

b. Travel Insurance 

If travel insurance is not purchased through us, you must obtain comprehensive personal travel insurance covering, at minimum: 

  • Medical emergencies and hospitalization 
  • Trip delay, cancellation, or curtailment 
  • Loss or theft of baggage, passport, or personal belongings 
  • Flight disruptions 
  • Natural calamities or unforeseen events 

The choice of insurer is entirely yours, and policy details must be shared with us at the time of booking.

If travel insurance is arranged through us, we act only as a facilitator. The insurance contract is directly between you and the insurer. Any discrepancies, claims, or policy amendments must be addressed directly with the insurance provider. We are not responsible for policy coverage limitations or claim outcomes. Travelers declining insurance may be required to sign a waiver. 

You must carry a copy of your insurance policy at all times. Traveling without valid insurance is at your own risk. While you are responsible for filing claims, we will assist by providing invoices or coordinating with insurers if you are unable to do so. 

c. Health & Medical Requirements 

Travelers must ensure compliance with all health regulations applicable to their destinations, including vaccinations and medical certificates. You are advised to consult a medical professional or travel health clinic prior to departure, share detail with us so that we can pass these details to our independent contractors, agents or other authorities at the right time. 

Failure to carry required vaccination or medical documentation may result in denied boarding or entry, for which we hold no responsibility. Pregnant travelers beyond 28 weeks must carry a doctor’s fitness certificate (airlines may require certification after 32 weeks). We are not liable for any illness, delays, or expenses arising from unmet health requirements. 

d. Transportation (Flights, Trains, Buses & Car Rental) 

All transportation services included in your travel package—such as flights, trains, buses, cars, or coaches—are arranged through third-party service providers. We act solely as a booking facilitator and do not operate or control these services.

  • Flights:- 

Air travel bookings are subject to the rules, regulations, and operational policies of the respective airlines. Flight tickets are issued only after full payment is received and are confirmed solely at the airline’s discretion. Seat allocation, aircraft type, meal preferences, and check-in procedures are controlled by the airline and cannot be guaranteed by us. 

Flight schedules, departure times, routes, and stopovers may change due to operational requirements, weather conditions, air traffic control, or technical reasons. Travelers are advised to reconfirm flight timings directly with the airline at least 72 hours prior to departure. We are not responsible for delays, cancellations, missed connections, denied boarding, or schedule changes made by airlines. 

Tickets described as “direct” may include technical or operational stops. If a traveler fails to board the outbound flight without notifying the airline, the return flight may be automatically canceled by the airline without refund. Any costs arising from missed flights, rebooking, or fare differences will be borne by the traveler. 

  • Trains:-

Train travel arrangements are governed by the rules of the respective railway authorities. Train tickets are non-transferable and require valid government-issued photo identification at the time of travel. Seat or berth allocation is subject to availability at the time of booking. 

In cases of late booking, tickets may be confirmed under RAC (Reservation Against Cancellation) or may remain waitlisted. Travel on waitlisted tickets is subject to railway rules. We are not liable for non-confirmation of seats, changes in train schedules, delays, cancellations, or disruptions caused by the railway authorities. 

  • Buses and Coaches:- 

Bus and coach services are operated by independent transport providers and are subject to their terms, schedules, seating policies, and route conditions. Seat numbers, vehicle type, air-conditioning, and amenities are subject to operational availability and may change without prior notice. 

Delays, route diversions, breakdowns, or changes in boarding points may occur due to traffic, weather, road conditions, or local regulations. We are not responsible for loss of personal belongings during bus or coach travel and recommend travelers keep valuables with them at all times. 

  • Car & Coach Rentals: 

Car and coach rentals are provided strictly as per the confirmed itinerary and are not available for personal or unrestricted use unless specifically mentioned. Vehicle usage is limited to agreed routes, sightseeing points, and duration. Any additional usage, detours, or overtime may attract extra charges payable directly by the traveler. 

Air-conditioning in vehicles may not operate in hilly or high-altitude regions as per safety guidelines. Fuel costs, tolls, parking fees, interstate taxes, and driver allowances are included only if explicitly stated in the itinerary. 

We are not responsible for delays caused by traffic conditions, road closures, weather, vehicle breakdowns, or force majeure events. In such cases, reasonable alternative arrangements will be made where possible, subject to availability. 

Important Note: Travelers are advised to reach airports, stations, and boarding points well in advance of departure times. Failure to report on time may result in missed services with no entitlement to refunds. 

e. Baggage Regulations 

Each airline, cruise line, or carrier has specific baggage size, weight, and quantity restrictions that may change without notice. Travelers must check the updated baggage policies directly with the carrier prior to travel. Any excess baggage fees or denied carriage will be your responsibility.

You are solely responsible for your baggage and personal belongings at all times. We are not liable for loss, theft, or damage to luggage while in the custody of airlines, cruise operators, transport providers, or other carriers. 

f. Accommodation 

Accommodation arrangements play an important role in your overall travel experience. Today, travelers can choose from a wide range of stay options based on travel style, group size, comfort preferences, and trip purpose. Depending on availability and itinerary, accommodation may include: 

  • Hostels 
  • Hotels 
  • Serviced Apartments 
  • Villas 
  • Bed & Breakfasts (B&Bs) 
  • Guesthouses 
  • Homestays 
  • Camping or unique stays 

Rooms Allocation and Occupancy 

Room allocation is subject to availability at the time of booking and is based on the number of travelers. Unless specifically mentioned otherwise, all tour prices are based on twin or double sharing accommodation

  • Single rooms may be available on request and, if confirmed, will be charged as a single supplement clearly mentioned in your itinerary and quotation.
  • If the listed accommodation is unavailable at the time of confirmation, we reserve the right to arrange an alternative property of a similar category and standard

Meals Plans 

Meal preferences must be communicated at the time of booking. Meal plans are defined as follows: 

  • EP (European Plan): Accommodation only 
  • CP (Continental Plan): Accommodation with breakfast 
  • MAP (Modified American Plan): Accommodation with breakfast and either lunch or dinner 
  • AP (American Plan): Accommodation with breakfast, lunch, and dinner The applicable meal plan will be clearly mentioned in your confirmed itinerary. Check-In & Check-Out Policy

Standard hotel check-in and check-out timings apply as per property rules and destination norms: 

Outbound Tours 

  • Check-in: 14:00 – 15:00 hrs 
  • Check-out: By 12:00 hrs 

Inbound Tours 

  • Check-in: 12:00 – 15:00 hrs 
  • Check-out: 10:00 – 11:00 hrs 

These timings may vary by accommodation and destination. 

Early Check-In & Late Check-Out 

  • Early check-in and late check-out requests are subject to availability and the individual accommodation’s policy. 
  • Guaranteed early check-in requires booking the room from the previous night
  • Any charges for early check-in or late check-out are not included in the package cost and must be paid separately. 
  • While we can place a request on your behalf, confirmation is entirely at the discretion of the accommodation provider. 

Mandatory Identification at Check-in 

All guests are required to present valid photo identification at the time of hotel check-in. Accepted IDs include: 

  • Passport (mandatory for foreign nationals) 
  • Passport & Visa 
  • Driving License 
  • Aadhaar Card 
  • Voter ID Card 

PAN Card is not accepted as valid ID for hotel check-in. 

Guests traveling on corporate bookings should also carry proof of corporate affiliation, if applicable. 

General Notes: 

  • Room amenities, services, and inclusions vary by property and location.
  • Any additional services or extras availed directly at the accommodation (minibar, room service, laundry, etc.) must be settled by the guest at checkout. 
  • We act only as a facilitator and are not responsible for the internal management or policies of the accommodation provider. 
g. Foreign Exchange 

Accepted Currencies & Payments

  • Foreign nationals and NRIs may make payments in USD or EUR.
  • Indian residents must make payments in Indian Rupees (INR) at the prevailing exchange rate applicable on the date of payment. 
  • Payments may be made at our offices or through approved banking channels such as wire transfer or electronic transfer. 

RBI Guidelines & Forex Entitlement 

All foreign exchange transactions are governed by the rules and regulations issued by the Reserve Bank of India (RBI) and other applicable authorities. 

  • Resident Indian travelers are permitted to purchase foreign exchange up to USD 3,000 (or equivalent) in currency notes per trip, subject to eligibility. ● For travel to CIS countries, Russia, and Iran, the full eligible foreign exchange amount may be carried in currency notes. 
  • For private overseas travel (excluding Nepal and Bhutan), an individual may avail foreign exchange up to USD 10,000 per calendar year
  • For business travel abroad (excluding Nepal and Bhutan), companies and registered partnership firms may avail foreign exchange up to USD 25,000. Amounts exceeding this limit require prior approval from the Reserve Bank of India

KYC & Compliance 

  • All payments and foreign exchange transactions are subject to RBI compliance. ● Travelers are required to submit valid KYC documents as requested at the time of booking or while making payments. 
  • Failure to provide required documentation may result in delays or cancellation of services. 

Cash & Non-Cash Payment Limits 

  • Cash payments for foreign exchange purchases or forex-related transactions are permitted only up to the INR equivalent of ₹50,000 (inclusive of GST and transaction charges)
  • If the amount exceeds ₹50,000, payment must be made entirely through NEFT, RTGS, cheque, demand draft, or approved payment gateways
  • Credit and debit cards are not accepted for foreign exchange transactions. Payment Mode Restrictions 
  • Only one payment mode may be used per transaction. 
  • Split or part payments using multiple payment methods are not permitted (e.g., cash plus bank transfer). 

Important Notes: 

  1. Exchange rates are subject to fluctuation and will be applied as per the rate on the date of payment.
  2. All foreign exchange services are provided strictly in accordance with prevailing laws and regulations. 
  3. Travelers are advised to plan their forex requirements in advance to avoid last-minute inconvenience. 
10. Limitation of Liability 

We are responsible only for those travel arrangements that are directly managed and controlled by us. Accordingly, our liability is limited to losses caused solely due to the proven negligence of our employees. We shall not be held responsible or liable for any loss, injury, delay, damage, or inconvenience arising from circumstances beyond our reasonable control or the control of our suppliers or partners. 

Events Beyond Our Control 

These include, but are not limited to, unforeseen or unavoidable events such as: 

  • Acts of terrorism, war (including civil unrest), riots, coups, or criminal activities ● Natural disasters including earthquakes, floods, landslides, storms, or extreme weather 
  • Strikes, technical failures, airspace restrictions, or administrative disruptions.
  • Bankruptcy or failure of airlines, hotels, transport providers, or other third-party suppliers 
  • Flight delays, missed connections, baggage loss, or transport breakdowns.
  • Delays in issuance or delivery of passports, visas, or travel documents .

Any additional costs resulting from such events—including accommodation, meals, transport, taxes, parking fees, or reissuance of documents—shall be borne entirely by the traveler. No refunds or compensation will be payable in such cases. 

Traveler Responsibilities 

We shall not be liable for losses or damages resulting from: 

  • Loss or misplacement of travel documents, tickets, or vouchers by the traveler Invalid, insufficient, or missing travel insurance, passports, visas, identification, or vaccinations 
  • Failure to comply with immigration, customs, or health regulations 

Changes for Safety or Legal Reasons 

To ensure traveler safety or to comply with government or administrative directives, we reserve the right to amend travel dates, routes, schedules, or itineraries, or to cancel bookings when required. In such cases: 

  • The unused portion of the tour cost will be calculated 
  • Applicable cancellation charges will be deducted 
  • The remaining amount may be retained as credit for future travel 

Any shortfall in cost for future bookings must be paid by the traveler. Refusal to accept reasonable price adjustments will be treated as a booking cancellation. 

Price & Supplier Policies

Our prices are based on current rates negotiated with hotels, airlines, and service providers. These suppliers reserve the right to revise their prices without prior notice. Any such increases may be passed on to the traveler. Hotel check-in and check-out times are governed by individual hotel policies unless otherwise specified. 

Third-party Services 

We are not responsible for any personal injury, loss, damage, or service deficiency caused by independent contractors, including hotels, airlines, transport providers, guides, or activity operators. 

Special Circumstances 

We accept no liability for: 

  • Missed sightseeing, shortened itineraries, or changes after tour commencement due to force majeure, crowd control, security restrictions, monument closures, renovations, VIP movements, or traffic conditions 
  • Increases in government-imposed taxes, monument entry fees, fuel surcharges, or guide charges after tour cost finalization 
  • Accidents during adventure or recreational activities such as swimming, rafting, kayaking, hiking, cycling, or similar activities 
  • Food-related illnesses or food poisoning 
  • Government orders restricting travel, border closures, epidemics, quarantines, or suspension of transport services 

In the unfortunate event of a traveler’s death during the tour, all legal formalities, procedures, and associated expenses shall be handled by the traveler’s family or representatives at their own cost and responsibility. 

Any assistance or goodwill gesture offered by us to minimize inconvenience shall not be considered an admission of liability or a waiver of our rights under these Terms & Conditions. 

11. Traveler Behaviour 

Each traveler is responsible for their own conduct and the behavior of their travel companions throughout the journey. We, along with our suppliers and service partners, reserve the right to deny booking, boarding, participation, or continued travel—and to immediately terminate services—if any traveler is found to be intoxicated, under the influence of alcohol or drugs, unlawfully possessing substances, or behaving in a violent, disruptive, unsafe, offensive, or irresponsible manner that may pose a risk or inconvenience to others. 

In such circumstances, no refunds, compensation, or reimbursements will be provided for unused services, losses, or additional expenses incurred. Any costs, penalties, or liabilities arising from such behavior shall be borne entirely by the traveler. 

Travelers may also be subject to questioning, investigation, or legal action by local authorities, security agencies, or law enforcement in India or any other country with jurisdiction, if an offence is suspected or committed.

All travelers must strictly follow safety guidelines, rules, and instructions issued by tour operators, guides, or independent activity providers during the tour. Certain adventure or activity providers may require travelers to sign liability waivers before participation, and compliance with such requirements is mandatory. 

12. Compliant & Grievance Redressal Procedure 

We strive to provide a smooth, enjoyable, and memorable travel experience. However, if you experience any issues during your tour, you must immediately bring them to the attention of your Tour Manager or local representative so that corrective action can be taken promptly. 

If the concern is not resolved during the tour, you must submit a written complaint to us within 7 days of tour completion, along with relevant supporting documents. Failure to submit a complaint within this timeframe may limit our ability to investigate and address the matter. 

All disputes, claims, or legal matters arising from bookings, tours, or services shall be subject to the jurisdiction of courts in India

13. Travel Documents 

Travel documents are essential for domestic and international travel and may include airline, train, or bus tickets, hotel or accommodation vouchers, car rental vouchers, and a finalized itinerary containing addresses, contact numbers, and driver details (where applicable). These documents may be subject to specific terms such as being non-refundable, non-changeable, or non-transferable, along with applicable amendment or cancellation charges. 

All traveler names and personal details provided at the time of booking must exactly match the legal name as per the passport or valid photo identification. Any mismatch in names or details across travel documents and tickets may result in cancellation or denial of service, with applicable cancellation charges borne by the traveler. 

Travel documents will be issued via email within 3–5 working days after receipt of full and cleared payment. One physical set of documents may also be handed over where applicable. Travelers are advised to carefully review all documents upon receipt and notify us immediately of any errors. Any discrepancies not reported promptly will be the traveler’s responsibility. 

We recommend printing at least two copies of the final travel documents—one to carry while traveling and one to leave with a family member at home. 

Mandatory Identification Requirements

Providing valid photo identification at the time of booking confirmation is compulsory for all travelers: 

  • Foreign Nationals: Passport and valid visa copy 
  • Non-Resident Indians (NRI): Passport copy 
  • OCI / PIO Card Holders: Passport copy along with OCI/PIO card 
  • Indian Residents: Passport, Driving License, Aadhar Card or Voter ID Failure to provide the required documents may result in booking delays or cancellation. 
14. Scope of Services or Activity 

We operate solely as travel planners and holiday coordinators. We do not own, manage, or control airlines, railways, buses, cruise lines, hotels, villas, apartments, transport providers, or any other third-party service suppliers. 

While we exercise reasonable care in selecting and recommending service providers to ensure a comfortable travel experience, we are not responsible for the actions, omissions, or service deficiencies of these independent contractors. Any injury, loss, damage, delay, or inconvenience caused by third-party providers is outside our direct control. 

All services are subject to the individual terms, conditions, and liability limitations of the respective service providers. Any legal claim arising from such services must be pursued directly with the concerned provider and not with us. 

Jurisdiction 

All disputes, claims, or legal matters arising from tours or services operated, promoted, or coordinated by us shall be governed exclusively by the laws of the Republic of India, and the courts of Delhi shall have sole jurisdiction.
